Hopkins Sports Board Meeting
Monday, September 26th, 2005
Attendance: M. Gallagher, S. Minkel, M. Schaefer, C. Eischens, T. Undis, T. Hathaway, R. Rivett, M. Peterson, D. Meyer, T. Parsons, B. Nybo, J. Thibault, M. Olson
1) M. Peterson started the meeting with opening remarks.
2) Secretary’s report for August was approved as written.
3) The Treasurer’s Report was approved as presented. Approximately 5K in the bank.
Action: R. Rivett to contact Bifs to ensure they did pickup
Action: R. Rivett to send refund to J. Livingston and D. Leno
4) There was no fundraising report available. M. Olson reported on the high school hiring a fundraiser for the athletic office. Discussed the possible impact of all community organizations competing for the same dollars. Discussion was held regarding “double taxation” for field use at the school fields. We pay per hour to use fields and then donation dollars back for the softball fields at the high school. A position paper will be prepared to send to the Athletic. Committee was formed to draft letter/position paper. Committee includes M. Olson, J. Thibault, T. Undis, and R. Rivett.

5) Fall Ball Report. All teams in Hopkins fall program made it to MMFL A State! 10U finished with 3rd place. 12U White made it to the top 8 teams in A State. 12U Blue – no report available. 14U finished the season 8-4. 16U took home 3rd place in State and had an 8-3 season. 18U finished 3rd in State.
6) Winter Gym setup will be similar as in year’s past. 18U/Varsity will be from 11-1; 10 and 12U’s will be 1-2:30 and 14/16U ‘s will be from 2:30 – 4 p.m. on Sunday afternoons. Stan will be back for pitching gym at Alice Smith from 12-4. Many will be back at Eisenhower. M. Peterson working to contact M. Wong for helping as well as having T. Gormley backs from St. Thomas. Hopkins kids (those in district 270 or players who have previously played for Hopkins) will be let into winter gym first and then it will be opened up to kids outside of the Hopkins. R. Rivett will do marketing for outside kids via e-mail to the MMFL Distribution List, advertising on Fastsports and the MMFL newsletter. Session 1 of winter gym will be November 6th through December 18th. Session 2 of winter gym will be January 8th through March 12th. Cost per sessions is as follows
Hopkins kids Session 1 - $95 Session 2 - $110 Both - $190
Open Registration Pitch Only Session 1 - $125 Session 2 - $140 Both - $250
Open Registration Hitting Only Session 1 - $125 Session 2 - $140 Both - $250
Open Registration Pitch/Hit Add $50/session

7) Player/parent survey regarding summer and fall survey will be sent by D. Meyer will follow-up results at a future board meeting.
8) End of the season banquet will be held Sunday, October 9th at the Hopkins VFW.
9) J. Thibault presented a recap of the fall MMFL season. Thanks again to J. Thibault and D. Meyer for all the work they do in making this a successful season. Out of 808 games played, only 2 teams did not play their scheduled game. Next general meeting of the MMFL will be Monday, October 10th at the Hopkins VFW.
10) New Business: October 2nd there will be a VFW hosted pork roast dinner from 11-2. Need chaperones/volunteers to support this effort.
11) New Business: Evaluation committee will meet November 5th at 8 a.m. at J. Thibault’s house.
12) New Business: J. Tschida to present a coaching clinic in December.
Action: M. Peterson to check availability and date of clinic
13) New Business: T. Hathaway discussed his effort of hosting an open house table at Eisenhower Back-to-School Night to get interested kids for fastpitch softball. Observation has been that we communicate poorly to people outside the organization to tell them what we are about and that we need stock literature to sell the organization. Ted drafted documents to meet this need. He also presented a position paper asking for a PR/Communications Coordinator position to be created. This discussion was tabled for a future meting.

Action: Try to get the GAL mailing list.

14) New Business: Batting cages at West need to have the nets taken down. This is tentatively scheduled for October 8th at 10 a.m. T. Undis will collect gear on Tuesday, October 4th at 6 p.m. at the high school garage.
Action: S. Minkel to restock first aid kids
Action: M. Olson and B. Nybo to help clean up/inventory bats/gear with T. Undis
