Hopkins Sports Board Meeting

Attendance:  M. Peterson,  J. Thibault, C. Eischens, T. Undis, D. Meyer, R. Rivett; J. Rouse; J. Clark; T. Moynihan, T. Parsons, M. Rodgers

 

1)       M. Peterson started the meeting with opening remarks.

 

2)       Minutes were approved as written. 

 

3)       R. Rivett provided informal Treasurer’s Report.    

                ACTION:  Check status of bulk mailing permit – R. Rivett

 

4)       The first Hopkins Fastpitch "Playing College Softball Workshop" was in late December. There were 22 college players answering questions from 40 high school players, and about 30 parents. The first half of the time was spent answering questions from the group, and the second half was spent working on individual skills. Thank you to all the college players that gave of their school vacation time to talk to these prospective college players. Also thank you to Stan Waldhauser for the concept and organization of this fine event.

               

5)       Commitment Committee reported on the development of a “Team and Player Development” form.  When registering for summer play, each player and a parent will be asked to read and sign the "Team and Player Development" document. This document describes some the important information the board wishes to convey to players and families about summer teams.  After discussion an amendment was made and approved to modify the wording. 

               

6)       M. Peterson discussed Winter Gym.   Question was raised if we have space available in winter gym for kids outside of the Hopkins school district.  It was decided to take a wait and see approach based on the numbers after the second session of winter gym starts on 1/18/04. 

                ACTION:  C. Eischens to put information in Sun Sailor about winter gym and summer registration.

               

7)       Discussed Summer Registration status.  Registration will be held jointly with MHGS on Monday, January 26th and Monday February 2nd, from 6:30 to 8:30 p.m. at North Junior High lobby.  Mailing will go out the 2nd week of January to current players registered within MHGS and Hopkins Sports.  In addition, copies will be taken to the Hopkins elementary schools for distribution. Thanks to T. Undis for getting the forms printed quickly.  The indoor evaluation will be held February 22nd at the Lindbergh Center.  A makeup session will be scheduled for March.   

 

ACTION:  Staffing for January 26th registration will be C. Eischens, J. Thibault, J. Clark, and R. Rivett

ACTION:  C. Eischens to do registration mailing and coordinate with MHGS

 

8)       League Tracker Committee presented the League Tracker User License Agreement that was developed.  Upon receipt and review of the license agreement, the Board expressed sincere thanks to D. Meyer for software development and maintenance and R. Rivett for oversight of the document.

 

9)       First aid kits need to be returned to J. Clark.  It’s believed the following coaches/teams have not turned in first aid kits:  M. Peterson (2), T. Moynihan (2), J. Rouse (1).   Each coach is also to provide a list to J. Clark of who had catcher’s gear.

 

10)    Lighting at Eisenhower gym and stage very poor due to many burnt out lights. 

 

ACTION:  M. Peterson to send e-mail to K. Johnson requesting replacement of bulbs.

 

11)    T. Moynihan sent e-mail requesting access to the new multi-use field for the softball season.  Will report back at a later date the response.

 

12)    The Mary Nutter softball clinic will be held January 16th and 17th at the Minnetonka Opus Mariott.  Hopkins Sports to pay for the high school coach and her staff to attend.

 

13)    T. Undis recommended sending reminder e-mails out to current player’s families reminding them about upcoming monthly board meetings.

 

ACTION:  D. Meyer to send reminder e-mails several days before each monthly board meeting.  Information is also posted on the website.

 

14)    Old Action Item - Approval of scholarships was discussed.  Policy needs to be developed for applying for scholarships on a season-by-season basis.  T. Moynihan is the point of contact.  Policy will be discussed further at the next board meeting.

 

15)    Parent commitment was discussed.  Many organizations require parent volunteer support in each season.  Many types of support will be needed with jobs such as field maintenance, installing batting cages, recruiting volunteers, team parent, etc. over the summer.  Looking for ways to get more people active in the organization.

 

16)    Meeting adjourned at 9:54 p.m.  Next meeting will be January 19th.
