Board Meeting

Attendance: M. Peterson, C. Eischens, T. Undis, D. Meyer, R. Rivett; J. Rouse; J. Clark; T. Moynihan, T. Parsons, , J. Thibault; J. Gallop
1) M. Peterson started the meeting with opening remarks.
2) Minutes were approved as written from 7/14/03.
3) Treasurer’s report was discussed. There is approximately $11,000 in the bank. Still need to pay fall league fees which are about $2,000.
4) The start of Fall Ball is next weekend. The following teams have been formed: 10U coached by J. Rouse; 12U coached by J. Gallop and J. Goneau and the other 12U team coached by T. Parsons; the 14U team coached by J. Clark, B. Lucius and K. Merz and the other 14U team coached by M. Peterson and R. Rivett; the 16U teams coached by K. ODea and T. Undis. Fall ball dates are August 24th, September 7th, September 14th, with state qualifiers on September 20/21 and state tournament on September 27/28.
5) Winter gym will start around November 2 with the hitting/fielding portion at Eisenhower and the pitching to be held at Alice Smith. J. Clark to again lead winter gym with the help as others. Probable schedule for hitting/fielding at Eisenhower will be 11 a.m. – 1 p.m. 18U, Varsity and Junior Varsity players; 1:00 – 2:30 p.m. for the 10U and 12U’s; 2:30 p.m. – 4 p.m. for the 14u and 16U’s. Probable schedule for pitching will be 12:00 p.m. – 1 p.m. for novice pitchers, 1 p.m. – 2:30 p.m. Hopkins pitchers, and 2:30 p.m. – 4 p.m. for outside pitchers as room is available. Will discuss structure and fees for winter gym at next meeting.
ACTION: D. Meyer to revise the winter gym registration form including that pitchers needs to bring their own catcher and softballs.
ACTION: M. Peterson to contact Stan to discuss pitching schedule.
ACTION: M. Peterson to contact Tim and Jen from St. Thomas to review their hourly fee and availability.
ACTION: R. Rivett to put together a preliminary budget based on last years attendance at winter
Gym.
ACTION: M. Peterson to reserve gym space.
6) J. Thibault’s 18U summer team qualified for a tournament next year due to this year’s success. A minimum of 5-6 players must return from last years team to be eligible to play. Looking at the possibility of putting together a winter dome team. Cost is approximately $1200 for 8 weeks of double headers.
7) Facility Update – What was originally slated to be 4 fields on the high school complex have now turned into 3. Discussion was held on if we are still willing to work with the school over developing this complex when they have not dealt in good faith with this organization. Hopkins Sports will consider our options. Only having 3 fields doesn’t work well for hosting tournaments. Will discuss at next month’s meeting again.
8) Bulk mailing permit is still held up. Post Office needs last year’s tax return to complete.
ACTION: R. Rivett/M. Peterson to follow up
9) Banquet date is still not finalized. Hope to have the same arrangement as last year with the banquet being held at the VFW and the VFW covering the cost of the banquet.
ACTION: T. Moynihan to work date with VFW
10) Still working on getting catcher’s gear from former Hopkins Sports players. Still working on getting gear from Paige Paulson, Molly Anderson and Courtney Pulsifer. Will ask for a deposit on catchers gear at the start of the season effective next year.
11) Motion was made by J. Rouse and passed that a knee pad be issued as part of the standard uniform next year. Issue is that most players do not currently return their kneepads. Cost of kneepad is approximately $8-9.
12) Motion was made by J. Rouse and passed that for next year’s registration process, all registration, uniform and fundraiser monies be collected at the time of registration.
13) D. Meyer asked M. Peterson to contact F. Ricco regarding availability to continue on as treasurer. Minimum attendance requirement as a board member is not being met. M. Peterson to report back at next meeting.
